Data handling and privacy

The content you create, the contacts you keep, and the voice recording that powers your writing are yours. TrueTone holds them to run the features you use, keeps them access-controlled and separated from every other organization, and hands them back only to you. You can remove your own items whenever you want.

What it is

This page explains, in plain terms, what information TrueTone holds on your behalf, how that information is treated, and what happens when you delete it. It is written for someone making a trust decision, so it covers the principles you would want confirmed rather than the internal machinery.

Nothing here changes what you can do in the product day to day. It simply states the promises underneath: your data is held to serve you, it stays private and yours, and you stay in control of removing it.

Who it is for

Loan officers who want to know their drafts, contacts, and voice recording are private and belong to them.
Org admins describing to their loan officers how the company’s information is treated.
Security reviewers evaluating TrueTone who need the handling principles stated honestly.
Sales, marketing, and support teammates who need to answer a data question accurately without overselling.

What TrueTone holds for you

TrueTone keeps only what it needs to run the features you use. In practice that falls into a few plain categories:

Your content. Everything you generate and save lives in your Creations library, along with any drafts, edits, and the topics you work from.
Your contacts. The people you add or import, kept so you can organize outreach and export back to your own systems.
Your voice. The short recording you make so your writing can sound like you, plus the profile derived from your onboarding interview.
Your media and website. Images you upload, and the content on your hosted website if you run one.
Your account details. The basics needed to sign you in, meter your credits, and bill your plan.

TrueTone never sends email on your behalf. Your email creations are yours to export and send from your own tools, so your contact list is a working file, not a mailing service. See Contacts and Email.

How your data is handled

You provide it

Your data enters TrueTone because you create it, upload it, or record it. Your voice recording, for example, exists so your content can carry your own sound, and it is captured only when you choose to record.

It stays yours

You own what you put in. TrueTone holds your information to power the features you use, not to repurpose it. Your original voice recording is a good example of the standard: it is stored so your voice can drive your writing, and it is handed back only to you, only when you are signed in as yourself.

It stays isolated

Your information is kept separate from every other organization’s, and that separation is enforced and audited. One company’s content, contacts, and recordings cannot surface inside another. Within your own company, what each person can reach follows their role.

You can remove it

You are in control of taking things out. Delete a creation, a contact, an image, or a topic and it is removed. Closing an account and clearing everything tied to it is handled with your TrueTone contact.

Your voice recording

Your voice recording deserves its own note because it is personal. You record it once so TrueTone can shape content in your voice, and it is treated as private to you. When your recording is played back, TrueTone confirms you are signed in as yourself and returns only your own recording, kept private to you and never exposed to anyone else. It exists to serve your account and no other.

What a connected AI assistant can read

If you create a key for the TrueTone API or connect an AI assistant through the TrueTone Connector, it can reach only what the Capability Groups you grant allow. Read access covers your seeds, the images in your media library, the content you have generated, your credit balance, and whether your TrueTone Profile is ready. The organization group reads your organization’s member list and usage, nothing more. No grant hands over your original voice recording or your password, and every grant stays inside what you yourself could see in your own account and organization. Deleting your data

Removal is meant to be straightforward and under your control.

Delete individual items yourself. Creations, contacts, uploaded media, and saved topics can each be deleted from where you manage them, and the deletion takes effect.
Disconnecting a source is not the same as erasing history. If you disconnect a connected account, the live connection is removed, but items that were already imported (such as reviews you pulled in) are kept unless you remove them separately. This is deliberate, so disconnecting does not silently wipe work you may still want.
Your website is live, with no draft layer. If you run a hosted website, edits and removals there take effect right away rather than waiting in a draft. Removing something from your site removes it from what visitors see. See Your website.
Full account closure is handled with TrueTone. To close an account and clear everything associated with it, contact your TrueTone representative so it is done deliberately and completely.

Good to know and limits

A few honest notes so nothing is oversold:

Some deletions cascade, and some are kept on purpose. Removing a connection can clear the connection itself while preserving content you already brought in. When a distinction like that matters to you, check the specific feature page or ask your TrueTone contact before assuming everything is gone.
Full-account closure goes through your TrueTone contact. Today, closing an entire account and clearing all associated data is handled with a person rather than a single button, so it is done deliberately and completely. Individual items are yours to delete directly right now.
