Sending a piece to compliance
On a company account, your company decides how strict each Channel is. On some Channels a piece with a flagged line, or every piece, goes to your Compliance Admin before it can be posted or scheduled. TrueTone tells you exactly when that is, and what to do next.
When a piece needs your Compliance Admin
It depends on the Channel’s setting, which your Compliance Admin chooses. See Gate Coverage.
| Channel setting | A clean check | A warning you kept | A blocking line |
|---|---|---|---|
| Off | Goes out | Goes out | Goes out |
| Advisory | Goes out | Goes out | Asks you once before posting |
| Enforced | Goes out | Send to compliance | Fix it first |
| Always review | Send to compliance | Send to compliance | Fix it first |
Where it applies today, social posts and blogs show this on the piece itself. An email is held the same way when you export it, and a website page from the page builder when you save it.
On an Advisory Channel, a blocking line nobody fixed or kept brings up “This has a flagged line”, with Fix it and Post anyway (or Export anyway). You can add an optional reason for posting it as written.
A blocking line on an Enforced or Always review Channel has to be fixed before the piece can go to compliance: “A flagged line has to be fixed before this can go to compliance.” Use Go to the flagged line.
How it works
Send it
Choose Send to compliance. Your Compliance Admin reviews the exact words you sent before the piece can be posted or scheduled. The label reads In Compliance Review, and nothing more is needed from you.
Get the decision
You get a notification when your Compliance Admin decides.
| Outcome | What it means | What you do |
|---|---|---|
| Changes requested | They left notes on the words to change. | Make the changes, then Send back to compliance. |
| Accepted with changes | They accepted it with their own wording. | Apply the change (or apply all of them), then Confirm the accepted wording. No second review. |
| Accepted by compliance | It is ready to go out. | Post or schedule it. |
| Waiting for release | It is accepted, and an org admin releases it next. | Nothing. You are told when it is released. |
| Rejected by compliance | It cannot be posted or scheduled. | Start a new piece if you still need one. |
Post or schedule it
Once a piece is accepted, and released if your company releases by hand, post or schedule it as normal.
Good to know
Acceptance covers the exact words that were reviewed. If you change an accepted piece, nothing goes out: “These words changed after they were accepted by compliance, so nothing went out. Send it to compliance again.”
- Your Compliance Admin may edit the words themselves. When they do, you are told they edited and accepted it, and the piece is saved with their wording.
- Your company can release clean pieces straight away. If it has turned on automatic release for clean checks, a clean piece on an Enforced Channel goes out without waiting for anyone.
